How to Make an Announcement Over an Intercom
Is it your turn to read the announcements for the whole place over the intercom system? It's not that hard. Just plan them carefully and keep your cool.
Steps
- 1Write out the announcements that you will make, if someone didn't already do so. Rewrite them to make sure they are relevant, brief, and succinct, and that they are written in a way that flows well when spoken.
- 2Practice the announcements out loud as many times as you need to be confident reading them.
- 3Press the intercom button.
- 4Speak into the intercom.
- Speak loudly and clearly so that everyone can understand what you are saying.
- Speak slowly. Many people tend to speed up when they get nervous. Keep your cool. Remember, it's only announcements.
- If you do make a mistake or miss a word, simply repeat the part you missed. Don't advertise that you made a mistake or make it worse by floundering, or by offering more than a simple "excuse me" by way of apology. Listen to people who speak on the radio. They miss words often enough, but they recover quickly and without dwelling on it.
- Use a natural voice or exaggerate your inflection a little bit. Try to avoid reading in a monotone.
- 5Press (or release) the button to end the intercom announcements.
Tips
- A little appropriate humor will go a long way in getting people to listen to your announcements. Try to make it funny so your audience enjoys hearing what you have to say.
- Ask someone to explain to you how the intercom system works. Which button is it? Where is the microphone? Do you have to hold it down to speak or press a second button to turn off the sound?
- Arrive early so that you have plenty of time to gain your composure, review your notes, and catch your breath before you speak.
